Cancellation Policy

How to cancel, transfer or substitute a course booking with AfriScience Group, and what to expect if a scheduled course is postponed or cancelled.

This policy explains how to cancel, transfer or substitute a booking for a scheduled, online or in-house course with AfriScience Group, and the notice periods that apply. It is intended to be clear and fair to both delegates and AfriScience Group. If your organisation has a separate written agreement with us that covers cancellations, that agreement will apply instead.

How to cancel or transfer a booking

All cancellations, transfers and delegate substitutions must be requested in writing to our registrations team. Please include the delegate name, course title and session date in your request so that we can process it quickly. A booking is only considered cancelled or transferred once we have confirmed receipt of your written request.

Cancellation notice periods

Because places on scheduled courses are limited and trainers, venues and materials are booked in advance, the fee payable if you cancel a booking depends on how much notice you give before the course start date:

  • 15 or more working days before the course: full refund, or credit toward a future course, less any transaction or administration costs already incurred.
  • 8 to 14 working days before the course: 50 percent of the course fee is payable, and the balance may be credited toward a future course.
  • Fewer than 7 working days before the course, or a no show on the day: the full course fee is payable and is not refundable.

Working days exclude weekends and South African public holidays. Where a specific course, promotion or corporate agreement states different terms, those terms will apply in place of the sliding scale above.

Substitutions and transfers

If you are unable to attend, you may nominate another delegate from your organisation to take your place, or request that your booking be transferred to a later date, at no additional charge, provided you give us reasonable notice in writing before the course start date. Where notice is short, we will do our best to accommodate the change, but this cannot always be guaranteed.

If AfriScience Group postpones or cancels a course

Occasionally we may need to postpone or cancel a scheduled course, for example if a minimum number of delegates is not reached, or due to circumstances outside our control. Where this happens, we will notify you as soon as possible and offer you the choice of a full transfer to the next available session, or a full refund of the course fees you have paid for that session. We are not responsible for any travel or accommodation costs you may have already arranged.

Travel and accommodation

Unless a quotation or invoice states otherwise, course fees cover tuition, course materials and, where applicable, catering for classroom sessions. Course fees do not include travel, flights, visas or accommodation, which remain the responsibility of the delegate or their organisation to arrange and, where relevant, to cancel directly with the relevant provider.

In-house and corporate training

In-house and customised corporate training programmes are quoted and confirmed individually, and the cancellation, postponement and transfer terms for these engagements are set out in the proposal or agreement confirmed with your organisation.
